Booking Policy

At HairToque Boutique, we are committed to providing every client with exceptional service, professionalism, and punctuality. To ensure fairness and proper scheduling, the following policy applies to all appointments.

All salon services at HairToque Boutique are strictly by appointment to ensure each client receives dedicated time and premium service. We recommend booking in advance to secure your preferred date and time, especially for weekends, peak seasons, and specialized services such as braids, installs, and treatments. Walk-ins may be accommodated only if there is availability, but priority is always given to confirmed appointments.

An appointment is considered confirmed only once the required 30% booking fee has been received and proof of payment submitted. Time slots are not held without payment. Once your booking fee reflects, you will receive a confirmation message with your appointment details, including date, time, and service scheduled.

By securing an appointment, clients agree to comply with HairToque Boutique’s policies regarding cancellations, rescheduling, late arrivals, and payments. We value punctuality, professionalism, and mutual respect, and our structured booking system allows us to maintain efficiency, quality service, and fairness to all clients.

Booking Fees Policy

At HairToque Boutique, we are committed to providing every client with exceptional service, professionalism, and punctuality. To ensure fairness and proper scheduling, the following policy applies to all appointments.

A 30% booking fee is required to secure all appointments at HairToque Boutique. This fee confirms your time slot and allows us to allocate the necessary preparation time, products, and stylist availability for your service. No appointment will be considered confirmed until the booking fee has been received and acknowledged by the salon.

The 30% booking fee will be deducted from the total cost of your service on the day of your appointment. The remaining balance must be paid upon completion of the service. Please note that booking fees are non-refundable, particularly in cases where cancellations are made within 24 hours of the scheduled appointment or in the event of a no-show.

Clients are required to send proof of payment within the specified timeframe provided at the time of booking. If proof of payment is not received within this period, the appointment slot may be released and offered to another client. This policy ensures fairness, protects our stylists’ time, and maintains the professional standards of HairToque Boutique.

Cancellation & Rescheduling Policy

At HairToque Boutique, we are committed to providing every client with exceptional service, professionalism, and punctuality. To ensure fairness and proper scheduling, the following policy applies to all appointments.

At HairToque Boutique, we understand that unforeseen circumstances may arise. However, to respect our stylists’ time and other clients waiting for appointments, we require a minimum of 24 hours’ notice for any cancellations or requests to reschedule. This allows us the opportunity to offer the time slot to another client and maintain smooth salon operations.

Cancellations made more than 24 hours prior to the scheduled appointment may have the 30% booking fee transferred to a new appointment date. This transfer is permitted once only and must be rescheduled within a reasonable timeframe agreed upon with the salon. If the rescheduled appointment is later cancelled again, the booking fee will be forfeited.

Cancellations made within 24 hours of the appointment will result in the forfeiture of the booking fee, as preparation and time allocation would have already been made. Same-day cancellations and failure to attend an appointment automatically result in the loss of the deposit. This policy ensures fairness, professionalism, and respect for our team’s time and commitment.

Emergencies Policy

At HairToque Boutique, we are committed to providing every client with exceptional service, professionalism, and punctuality. To ensure fairness and proper scheduling, the following policy applies to all appointments.

At HairToque Boutique, we acknowledge that genuine emergencies such as sudden illness, accidents, or unforeseen family matters can occur. While we strive to maintain strict scheduling policies, we also approach legitimate emergency situations with understanding and professionalism. Clients are encouraged to notify the salon as soon as possible if an emergency arises that may affect their appointment.

In cases of emergency cancellations, supporting proof may be requested, depending on the nature of the situation. This may include a medical note, hospital documentation, or any reasonable verification. Providing prompt and transparent communication assists management in fairly assessing the circumstances and determining whether accommodations can be made.

Management reserves the right to review all emergency-related cancellations on a case-by-case basis. Where deemed valid, the booking fee may be transferred to a new appointment date at management’s discretion. However, repeated claims of emergencies may result in stricter booking conditions for future appointments to maintain fairness and protect salon operations.

No Show Policy

At HairToque Boutique, we are committed to providing every client with exceptional service, professionalism, and punctuality. To ensure fairness and proper scheduling, the following policy applies to all appointments.

At HairToque Boutique, a “no show” is defined as failing to attend a scheduled appointment without providing prior notice to the salon. When a client does not arrive for their appointment and does not communicate in advance, it results in lost time that could have been allocated to another client. For this reason, strict measures are in place to protect the salon’s schedule and professional commitments.

Failure to attend an appointment without notice will result in the immediate forfeiture of the 30% booking fee. This policy applies regardless of the reason provided after the missed appointment, as preparation time, stylist allocation, and product planning would already have been completed. No-shows disrupt operations and affect both staff productivity and client availability.

Clients who repeatedly fail to attend appointments may be required to pay a higher, non-refundable deposit to secure future bookings. In certain cases, management reserves the right to decline future appointments altogether. These measures ensure fairness, accountability, and respect for the time and effort invested by the HairToque Boutique team.

Payment Policy

At HairToque Boutique, we are committed to providing every client with exceptional service, professionalism, and punctuality. To ensure fairness and proper scheduling, the following policy applies to all appointments.

At HairToque Boutique, we prioritise secure and convenient payment methods for both our clients and staff. Our preferred method of payment is EFT (Electronic Funds Transfer), followed by card payments, and lastly cash. EFT payments allow for efficient record-keeping and smoother transaction processing. Clients are encouraged to make electronic payments where possible to promote safety and accountability.

All outstanding balances must be settled immediately upon completion of the service, before leaving the salon. The 30% booking fee paid at the time of booking will be deducted from the total amount due, and the remaining balance must be cleared in full. No client will be permitted to leave the premises with an unpaid balance unless prior written arrangements have been approved by management.

For safety and security reasons, the salon accepts limited cash payments, and large cash amounts are discouraged. Management reserves the right to refuse large cash transactions where security may be compromised. HairToque Boutique maintains strict financial procedures to ensure professionalism, transparency, and the protection of both clients and staff

Health & Safety Policy

At HairToque Boutique, we are committed to providing every client with exceptional service, professionalism, and punctuality. To ensure fairness and proper scheduling, the following policy applies to all appointments.

At HairToque Boutique, health and safety are non-negotiable priorities. All tools, equipment, and workstations are thoroughly sanitized and disinfected before and after each client in accordance with professional salon hygiene standards. We use clean capes, sterilized combs and brushes, and properly maintained styling tools to ensure a safe and hygienic environment at all times. Our team is trained to uphold strict cleanliness protocols to protect both clients and staff.

Clients are required to inform the salon of any scalp conditions, allergies, sensitivities, recent chemical treatments, or medical concerns prior to receiving a service. This includes conditions such as dermatitis, psoriasis, open wounds, excessive hair breakage, or allergic reactions to hair products. Transparent communication allows us to adjust techniques, recommend suitable products, or suggest alternative services where necessary to avoid complications.

HairToque Boutique reserves the right to refuse or postpone service if a scalp condition, infection, or health concern poses a risk to the client, stylist, or other customers. Our refusal policy is not personal but strictly professional and preventative. In such cases, clients may be advised to seek medical treatment before rebooking. These measures ensure that we maintain a safe, responsible, and high-standard salon environment at all times.

Client Responsibity Policy

At HairToque Boutique, we are committed to providing every client with exceptional service, professionalism, and punctuality. To ensure fairness and proper scheduling, the following policy applies to all appointments.

At HairToque Boutique, clients share responsibility in ensuring the success and quality of their chosen hairstyle. Clients are expected to arrive with clean, dry, product-free hair, unless specific preparation instructions have been provided in advance. Excess oil, heavy product buildup, or unprepared hair may affect the final result and could require additional cleansing services at an extra cost. Proper preparation helps us maintain timing, quality, and overall service excellence.

Clients are also required to follow all aftercare instructions provided by the stylist to maintain the longevity and health of their hairstyle. This includes guidance on maintenance, sleeping protection, product usage, and recommended follow-up appointments. HairToque Boutique cannot guarantee the durability of styles if aftercare instructions are not followed. Additionally, clients are expected to conduct themselves respectfully toward staff and other clients, maintaining a calm and professional salon atmosphere at all times.

Failure to comply with preparation guidelines, aftercare instructions, or respectful conduct standards may result in refusal or termination of service at management’s discretion. HairToque Boutique reserves the right to amend, update, or revise salon policies without prior notice in order to maintain operational efficiency and professional standards. Our policies are designed to ensure fairness, protect our team, and deliver a premium experience for every client.

Loyalty Cards & Rewards Progam Policy

At HairToque Boutique, we value our returning clients and believe in rewarding loyalty. Every client will receive a complimentary free gift with every service, as a token of appreciation for choosing us. Free gifts may include hair care samples, maintenance products, discount vouchers, or small beauty accessories, subject to availability. Our goal is to enhance your overall salon experience beyond just the service provided.

Clients enrolled in our Loyalty Card Program will receive a stamp for each completed qualifying service. After completing five (5) similar services, the sixth (6th) service of the same type will be free. “Similar services” refers to the same category of service (for example: braids to braids, wig installs to wig installs, ponytails to ponytails). The complimentary service covers the base service only; add-ons, special customizations, or premium lengths may incur additional charges.

Loyalty cards are non-transferable and must be presented at each appointment to receive a stamp. Lost cards cannot be backdated or replaced with previous stamps unless recorded by management. HairToque Boutique reserves the right to modify or discontinue the loyalty program at any time, while ensuring fairness and transparency to all clients.
